Demo Video: Managing Client Meetings

Wholesalers visiting clients and prospects on the road need an effective way to plan and prepare for those meetings. They need to make sure the agenda’s in place, materials are being produced, the people are all coordinated. But, there’s more to managing a meeting then planning it.
The primary need is to be able to capture the meeting notes and use that information to drive action items. Without this the meeting really has little value. Typically, most organizations track the logistics of meetings and appointments through outlook, or maybe excel, and rarely with a CRM system.
With AI and machine learning, the process of meeting with a client or prospect can be significantly enhanced, making it more efficient and effective to capture relevant information beforehand, during and afterwards.
Let’s see how machine learning and AI can help with this process, even when you’re working from the road and coordinating with people in the Home Office.
Here we are in our Microsoft Teams application and we see that there is an AB Investment Meeting, the same one that we saw in a previous video, related to this investment meeting upcoming.
In our conversations area, we can have instant messages that are persistent so that anybody at any time can go back and see those conversations.
We can also store our files related to this meeting. We’ve got … looks like a company presentation, business cases, confidential information document, financials, all related to this document here.
Now, here’s the important part, the planning and the tasks associated with this. Using the Planning Board, we can see that there’s a list of items in the To Do bucket or To Do lists, and these activities show up inside of Outlook, as well as inside DynamicsAdvantage. We can also see, for example, which ones are in progress and then which ones have been completed.
If I want to create a new To Do, you just simply click the little plus button, and let’s just say, send invitations, and of course you probably want to spell that correctly. You can even assign who needs to be responsible for that. Maybe we’re going to assign these two folks for that, and let’s even set a due date that we want that to go out the Thursday before the meeting. Boom. Very simple. And again, those are going to show up on the calendars.
Now, let’s say that this responsibility, with these four folks, is now in progress. At any point in time now the team will see who’s responsible for what and at what stage in the process they are. Then, once those have been completed, again, we can drag and drop over to the next bucket. So all keeping everybody up to date very quickly and easily.
We can even see charts to see how many tasks are left, how many have been completed, things along those lines. And even see those on a calendar if we prefer.
Not only that, we can even incorporate the information from Dynamics and we see that that meeting that’s in my Dynamics 365, or DynamicsAdvantage for Asset Managers, show up right inside the application. We can see those details of where it is, when it is, type in my meeting notes, what customer it’s related to, even what attendees are going to be associated. There’s my external attendees, here’s my internal attendees.
Then, we can finally start to capture our notes using One Note that, again, is associated with this particular meeting. I can type these in my One Note and then I capture all those details that way, but here’s an even easier way is if I flip over to my Outlook application. I go over to my outlook. Here is the notes related to AB Investment Meeting notes and as soon as I send that, notice that I can create tasks for people just by simply using the at symbol in their name. We can use colors and fonts and shading and bullets and all those fun things that will help clarify our meeting and notes.
But once I send this, the AI is going to find that meeting in CRM and automatically attach those notes to the appropriate records so that we have those captured at the CRM level and are now more easily shareable.
